These Terms & Conditions (“Terms”) apply to services provided by Circle Vet JVC (“we,” “our,” “us”) including veterinary consultations, treatments, diagnostics, procedures, grooming, retail items (if any), and any use of our website or communication channels (phone, WhatsApp, social media).

By booking an appointment, visiting our clinic, using our services, or communicating with us, you agree to these Terms.

2) Appointments, Walk-ins & Timings

Appointments are recommended to reduce wait times and ensure availability.

Walk-ins may be accommodated when possible, but urgent cases and scheduled appointments may be prioritised.

We aim to run on time, but delays can occur due to emergencies or complex cases.

3) Cancellations, Rescheduling & No-Shows

To be fair to pets who need care and to our team’s time:

Please provide as much notice as possible if you need to cancel or reschedule.

Repeated no-shows or late cancellations may require a booking deposit for future appointments (where permitted).

If you arrive late, your appointment may be shortened or rescheduled depending on clinic capacity.

4) Emergency & After-Hours Care

If we do not offer 24/7 emergency coverage, emergencies outside operating hours may require referral to an emergency facility.

If you believe your pet has an emergency (difficulty breathing, collapse, seizures, uncontrolled bleeding, suspected poisoning, heatstroke), seek immediate care.

5) Veterinary Services & Medical Decision-Making

Our veterinarians provide professional recommendations based on clinical examination and available history.

Veterinary medicine involves clinical judgement and, in some cases, uncertain outcomes. No guarantee can be given regarding results or cures.

You are responsible for providing accurate information about your pet’s health, behaviour, diet, previous treatments, allergies, and medications.

6) Consent for Treatment

By presenting your pet for care, you authorise Circle Vet JVC to:

Perform examinations and discuss recommended diagnostics/treatment.

Provide necessary care within the agreed plan.

For certain procedures (e.g., surgery, anaesthesia, hospitalisation, dental procedures), we may request additional signed consent.

If we cannot reach you during treatment and we believe urgent action is needed to protect your pet’s welfare, you authorise us to provide reasonable emergency treatment (where practical and permissible), at your expense.

7) Estimates, Fees & Payments

Fees depend on your pet’s condition, diagnostics, and treatment needs.

When practical, we provide estimates; however, estimates are not final invoices and may change if the medical situation changes.

Payment is due at the time services are provided unless otherwise agreed in writing.

Some services may require a deposit (e.g., surgery, procedures, hospitalisation, certain grooming appointments).

Unpaid balances may result in withheld non-urgent services and/or reasonable collection steps where permitted.

8) Refunds

Professional fees (consultations, treatments, grooming time) are generally non-refundable once services have been delivered.

If a product is defective (e.g., unopened retail item), we will assess and handle it fairly based on the situation and applicable supplier terms.

If you believe there is an error on an invoice, please contact us promptly so we can review it.

9) Diagnostics & Lab Testing

Diagnostic testing (bloodwork, imaging, lab tests) can reduce uncertainty but does not always produce a definitive diagnosis.

Some tests may be processed by external labs; turnaround times can vary.

Results must be interpreted in clinical context; we will explain findings and next steps as clearly as possible.

10) Surgery & Anaesthesia Risks

All anaesthesia and surgical procedures carry risks, including complications that may be rare but serious. By consenting to procedures, you acknowledge:

Risks cannot be eliminated entirely.

Additional procedures may be recommended if unexpected findings arise (we will try to contact you first whenever possible).

11) Medications & Follow-Up Care

You agree to administer medications as instructed and follow aftercare guidance.

If side effects occur, contact us promptly.

Missed doses, incomplete courses, or failure to follow aftercare instructions may affect outcomes and can increase the risk of relapse or complications.

12) Grooming Terms (Comfort, Safety & Handling)

Our grooming services are provided with your pet’s welfare as the priority.

You acknowledge:

Some pets may be anxious, reactive, or sensitive to grooming. We will use reasonable handling methods to keep your pet safe and comfortable.

For severely matted coats, shaving may be the most humane option to prevent pain and skin injury.

Grooming may reveal underlying issues (skin irritation, fleas/ticks, ear infections) that were not visible before. We may recommend a veterinary check if needed.

We may stop a groom early if continuing would risk your pet’s wellbeing or staff safety. In such cases, partial charges may apply for time spent.

13) Aggressive, Highly Anxious, or Unsafe Pets

Please tell us in advance if your pet has a history of biting, aggression, fear, or anxiety.

We may recommend behaviour-friendly approaches, muzzles (when appropriate), staggered visits, or veterinary support if required.

For safety, we reserve the right to refuse or discontinue services if a pet poses a significant risk to staff or other animals.

14) Infectious Disease & Parasite Control

To protect all pets and staff:

If your pet has a contagious condition or parasites, we may implement additional precautions or reschedule non-urgent services.

You agree to disclose known contagious illness exposure where possible.

15) Pet Drop-Off, Boarding-Style Holding & Abandonment

If your pet is left with us for procedures, grooming, or observation:

You agree to collect your pet at the agreed time.

Late collection may incur additional charges.

If a pet is not collected and we cannot reach the owner, we will take reasonable steps to contact you. Extended non-collection may be treated as abandonment, and we may act in the pet’s best interest as permitted by UAE law and clinic policies (including involving relevant authorities if required).

16) Client Conduct

We’re here to help, and we expect respectful communication.

Abusive, threatening, discriminatory, or harassing behaviour toward staff or other clients is not tolerated.

We may refuse service and ask individuals to leave if conduct is inappropriate or unsafe.

17) Photos, Social Media & Marketing

We may take photos of pets for medical records (e.g., documenting skin conditions) as part of care.

We will only use identifiable owner information publicly with consent.

If we wish to share your pet’s image for marketing/social media, we will request permission (where practical). You can always say no.

18) Website Use & Third-Party Platforms

If you use our website or contact us through third-party platforms (Instagram, Facebook, WhatsApp), you acknowledge:

Those platforms have their own terms and privacy policies.

We are not responsible for third-party platform outages, messaging delays, or platform privacy practices.

19) Limitation of Liability

To the maximum extent permitted by applicable UAE laws:

Circle Vet JVC is not liable for indirect, incidental, special, or consequential losses arising from the use of our services.

Our total liability for any claim relating to services is limited to the amount paid for the specific service in question, except where liability cannot be limited by law.

Nothing in these Terms limits liability for matters that cannot be excluded under applicable law.

20) Changes to These Terms

We may update these Terms occasionally. The current version will be available on request and/or on our website where published. Continued use of services after updates means you accept the revised Terms.

21) Governing Law & Disputes

These Terms are governed by the applicable laws and regulations of the United Arab Emirates. Any disputes will be handled through the relevant competent authorities/courts in the UAE, unless otherwise required by applicable law.
